Outlook makes it easy to change the font size before printing an email. Here's how to make the text bigger or smaller. Updated to include Outlook 2019.

What to Know

  • Double-click the email in Outlook to open it in a new window. In the Message tab, go to the Move group and select Actions.
  • Select Edit Message. Select the text that you want to make larger or smaller and go to the Format Text tab Font group.
  • Select Increase Font Size to make the text bigger or Decrease Font Size for smaller. Select Font Size to specify an exact font size.

This article explains how to print text in different font sizes in Microsoft Outlook by making one small change before pressing the Print button. Instructions cover Outlook 2019 through 2010 and Outlook for Microsoft 365.

How to Print Bigger or Smaller Text in Outlook

One reason to print larger text is to make really small text much larger before you print the email message so that the printed page is easier to read. Or maybe you're in the opposite situation, where you need to reduce large text so that the email fits on the page.

  1. Double-click the email in Outlook to open it in a new window.

  2. In the Message tab, go to the Move group and select Actions.

  3. Select Edit Message.

  4. Select the text that you want to make larger or smaller. Use the Ctrl+A keyboard shortcut to select all the text in the email.

  5. Go to the Format Text tab.

  6. In the Font group, select Increase Font Size to make the email text bigger. Or use the Ctrl+Shift+> keyboard shortcut.

  7. To make the text smaller, select Decrease Font Size, or use the Ctrl+Shift+< keyboard shortcut.

  8. To specify an exact font size, select the Font size drop-down arrow and choose a size.

  9. Press Ctrl+P to see a preview of the message before you print it. Or select File > Print.

  10. Select Print when you're ready.

If the text is still too big or too small, select the back arrow at the upper-left corner of the screen to return to the message and change the text size.
